Symposium Proposal Tips

  • ISHLT2025 Symposia sessions will be 75 minutes long, with at least 15 minutes dedicated to discussion. A successful proposal will include plenty of time for discussion, with total presentation time not exceeding 60 minutes.
  • Choose a symposium topic that will interest a wide range of ISHLT members from multiple Professional Communities.
  • Craft a clear and concise session title that accurately reflects the topic.
  • Foster collaboration across multiple IDNs and/or PCs when brainstorming symposium ideas.
  • Strive for diversity in your faculty selection, considering factors like gender, geography, and career stage.
  • Each proposal must include two moderators and up to five speakers, with alternates identified for each role.
  • All symposium moderators must be active ISHLT members.
  • Prioritize selecting speakers who are current ISHLT members. Non-member speakers may be substituted by the Program Committee if an equally qualified ISHLT member is available. If suggesting a non-member speaker, provide justification on the submission site.
  • Refer to the Annual Meeting and Academy Expense Reimbursement, Compensation, and Registration Policy for details on speaker compensation.
  • Note: The ISHLT does not allow owners or employees of ACCME-defined ineligible companies to participate as speakers or moderators in scientific sessions carrying Continuing Education Credit (CME).

Frequently Asked Questions

I have an idea for a symposium. Where do I start?

Start by sharing your idea with colleagues and seeking collaborators. Post your idea on the ISHLTconnect forum for your Professional Community (PC) and consider sharing it in another PC for multidisciplinary collaboration. Reach out to the relevant IDN Steering Committee (AHFTX, ALFTX, MCS, or PVD) for input or to find additional collaborators. Collaboration can happen through ISHLTconnect, email, or Zoom meetings. If you need assistance in setting up Zoom meetings, email Juliet Osazemwinde, Governance and Communities Administrator, at juliet.osazemwinde@ishlt.org.

Who can submit a symposium for consideration?

All ISHLT members who are not affiliated with industry as owners or employees can submit proposals. Proposals submitted by non-members or members affiliated with industry will not be considered.

When does the submission site open? When is the deadline?

The OASIS site for symposium proposals opens on Monday, 3 June. Look out for an email with the link, or find it posted on the ISHLTconnect Open Forum. Final proposals must be submitted online through the OASIS system by Monday, 24 June at 11:59 p.m. ET / Tuesday, 25 June at 3:59 UTC.

Who can be selected to speak at a symposium?

Speaker priority is given to ISHLT members. You are strongly encouraged to choose current ISHLT members as speakers. Non-members may be replaced by the Program Planning Committee if suitable ISHLT members are available. If non-member speakers must be included, justify their selection on the submission site. Speaker compensation details are outlined in the Annual Meeting and Academy Expense Reimbursement, Compensation, and Registration Policy.

Can I add a DEBATE to my symposium?

Yes! Debates inject excitement and engagement into a symposium by providing different perspectives on important topics. Additionally, debates often uncover new insights, challenge assumptions, and encourage attendees to reconsider their views.

Will my symposium submission be modified by the Program Planning Committee?

Your proposal may be adjusted or combined with other proposals by the Committee to ensure the highest quality symposia. The Committee considers multidisciplinary representation, content priority, diversity factors such as gender, geography, and early career representation, to create a balanced program.

How are final symposia selected?

Volunteer proposal reviewers will review, score, and comment on submissions specific to their primary Professional Community and/or IDN. The Program Planning Committee uses these scores and comments to evaluate submissions and decide on the final program content.

Will I be notified if my symposium submission is accepted or not?

Yes, all submitters will receive an email regarding the outcome of their proposal submission by 18 October.

Programming Decisions
ISHLT is accredited by the ACCME as a provider of Continuing Medical Education (CME) credit. The Annual Meeting Program Committee is responsible for determining what content will be included in all portions of the Scientific Program where CME is offered. Contacting any member of the Program Committee to influence decision-making or inquire as to the status of a submission is strictly prohibited and may result in repercussions.

What happens if my symposium submission is not accepted?

Submissions not accepted for ISHLT2025 may be considered for future ISHLTv webinars, online learning, or standalone educational programming.

Top 5 reasons why a proposal might be rejected:
  1. Incomplete or missing information: ensure your proposal is fully developed with all required information included.
  2. Insufficient balance in gender, generation, or geography - aim for diversity in your proposal's representation.
  3. Topic repetition from recent ISHLT Annual Meetings: select fresh and innovative topics.
  4. Content overlap with other submissions.
  5. Low reviewer scores: mainly due to other reasons listed.
