Overview and Definition: Partnerships with other organizations are essential to a modern, open, healthy, and growing ISHLT community. This includes opportunities for sessions at ISHLT and ISHLT supported sessions at other organizations’ meetings, joint webinars produced through the ISHLT professional communities, potentially co-branded education events, jointly issued S&G documents and advocacy positions, and so forth. This guidance covers the development of joint symposia at the ISHLT Annual Meeting between ISHLT and other non-profit membership organizations, NGOs or foundations.

Not all sessions that involve another organization’s content must be labeled as “Joint.” For example, a session that discusses another organization’s program or guidelines doesn’t have to be a joint session, even if it includes the other organization’s name in the title. And members of other organizations can participate in an ISHLT session without making it an official Joint session.

Joint Symposia are sessions that are co-branded, planned, promoted and delivered with the formal participation of members of another organization. Purposes of a joint session are to:

  1. Bring an additional perspective (geographic, unique expertise) to a session
  2. Introduce ISHLT to a new audience

Joint symposium content is planned by volunteers from both organizations. Below is the step-by-step process:

  1. IDN Steering Committee to request outline and session leads: The IDN Steering Committees are the entry point for Joint Symposium proposals. For any request for a joint symposium with another organization, the IDN Steering Committee needs to receive an outline of the symposium for review and the name of the lead from ISHLT and from the partner organization. This is done prior to the full development or submission of the proposal to confirm that the proposed content would be well-received. While the support of an IDN Steering Committee does not assure that the session proposal will be accepted, it is necessary for a proposal to be considered.
  2. Submission of Joint Symposium Proposal: if the outline is supported by the IDN SC, the proposal will be:
    • developed and submitted by an ISHLT member through the standard symposium proposal submission in June.
    • At least one, but not more than half, of the faculty in a joint symposium will represent the other organization.
    • The current ISHLT faculty funding policy applies. ISHLT will not provide any funding for joint sessions beyond the existing policy.
    • The Additional Comments Field of the proposal submission should be used to indicate that this is a Joint Proposal between ISHLT and XYZ organization.
  3. IDN Peer Review of Joint Symposium Proposals: A submitted proposal will undergo peer review in July just like all the other proposals.
  4. Review by the Program Planning Committee: The proposal will be subject to evaluation and acceptance (with possible modifications) or rejection by the Program Planning Committee.<
  5. Reuse of Joint Proposals: ISHLT supports the development of partnerships with other organizations in several formats. If the proposal is rejected, it will be referred to the relevant IDN SC for consideration as a webinar or other educational activity.
  6. Promotion: The other organization is expected to help promote the symposium via their regular and social media channels.
